Please read these Booking Terms and Conditions carefully before confirming your booking. By making a reservation and paying a deposit or full payment, you confirm that you have read, understood, and accepted these Terms and Conditions on behalf of yourself and all members of your travel party.

BOOKINGS & RESERVATIONS
Splendid African Safaris & Tours Ltd organizes safaris and travel services including accommodation, transportation, meals, flights, excursions, permits, park entries, and other travel arrangements through trusted independent suppliers.
All itineraries, prices, and travel information provided by Splendid African Safaris & Tours Ltd are based on information available at the time of quotation. While we make every effort to ensure accuracy, we reserve the right to correct any errors, omissions, or inaccuracies that may arise.
To secure gorilla permits, chimpanzee permits, flights, and other travel services, clients must provide:
- Full names exactly as shown in their passport
- Nationality
- Passport number
- Passport expiry date where required
At the time of booking, clients should inform us of any:
- Medical conditions
- Physical disabilities
- Dietary requirements
- Allergies
- Special needs
- Other special requests
We will do our best to meet these requests but cannot guarantee that every request can be fulfilled.
All bookings are subject to availability and are only confirmed after written confirmation has been issued by Splendid African Safaris & Tours Ltd.
Many lodges, camps, and gorilla permits have limited availability. We therefore strongly recommend booking well in advance.
Any changes requested after a booking has been confirmed may result in additional supplier or administration charges.
Splendid African Safaris & Tours Ltd makes reservations on behalf of clients with third-party suppliers, including:
- Hotels and lodges
- Airlines
- National parks
- Gorilla and chimpanzee permit authorities
- Transport providers
- Ground handling companies
The booking policies and conditions of these suppliers also apply and may affect cancellations, amendments, refunds, and service delivery.
PRICES & INCLUSIONS
Unless otherwise stated, safari prices include:
- Accommodation as specified in the itinerary
- Meals as indicated in the itinerary
- Ground transportation
- English-speaking driver-guide
- Park entrance fees
- Ranger fees
- Airport transfers where applicable
- Activities specifically mentioned in the itinerary
- Bottled drinking water during the safari
Unless specifically included, safari prices do not include:
- International flights
- Domestic flights
- Visa fees
- Passport fees
- Travel insurance
- Alcoholic and soft drinks
- Laundry services
- Telephone and internet expenses
- Tips and gratuities
- Personal expenses
- Optional activities not included in the itinerary
All prices are quoted in the applicable currency and are subject to availability.
Splendid African Safaris & Tours Ltd reserves the right to revise prices before final payment if there are increases in:
- Exchange rates
- Government taxes
- Fuel costs
- Permit fees
- Airline surcharges
- Park fees
- Other supplier charges beyond our control
Any price changes will be communicated to clients as soon as possible.
SAFARI OPERATIONS
Wildlife sightings cannot be guaranteed because animals move freely in their natural environment.
Similarly, gorilla and chimpanzee permits provide permission to track the animals but do not guarantee sightings, viewing distance, weather conditions, or the amount of time spent with the animals.
Accommodation is normally provided in single, twin, double, or family rooms depending on availability and booking arrangements.
Where necessary, Splendid African Safaris & Tours Ltd reserves the right to replace:
- Lodges
- Hotels
- Camps
- Vehicles
- Activities
- Guides
- Routes
with alternatives of a similar or higher standard.
We may make changes to itineraries when necessary due to:
- Weather conditions
- Road conditions
- Security concerns
- Government regulations
- Park management requirements
- Supplier operational needs
- Force Majeure events
Such changes shall not be considered a breach of contract.
Splendid African Safaris & Tours Ltd may use trusted subcontractors or partner companies to provide certain services.
Clients must follow all instructions given by guides, drivers, park rangers, accommodation staff, and government authorities throughout the safari.
We reserve the right to refuse or end the participation of any client whose behavior:
- Puts themselves or others at risk
- Breaks local laws
- Causes serious inconvenience to other travelers
- Damages property
- Harms wildlife or the environment
In such cases, no refund will be provided.
PAYMENT TERMS
To confirm a safari booking:
- A deposit of 30% of the total safari cost is required.
- Gorilla permits, chimpanzee permits, flights, and any services that require immediate payment must be paid in full at the time of booking.
The remaining balance must be paid no later than 30 days before arrival unless otherwise agreed in writing.
Bookings made within 45 days of arrival require full payment at the time of confirmation.
Splendid African Safaris & Tours Ltd reserves the right to cancel any booking if payment is not received by the agreed deadlines.
Payments may be made by:
- Bank transfer
- Credit card
- Approved electronic payment methods
- Cash where permitted
Any bank charges, card fees, transfer fees, intermediary bank charges, or currency conversion costs are the responsibility of the client.
CANCELLATIONS & REFUNDS
All cancellation requests must be submitted in writing and will take effect on the date they are received by Splendid African Safaris & Tours Ltd.
Important Notice
Before any refund is calculated, the following non-refundable costs will be deducted from the total booking amount:
- Gorilla permits
- Chimpanzee permits
- Park permits
- Airline tickets
- Hotel deposits
- Government fees
- Visa fees
- Supplier cancellation penalties
- Administrative charges
- Any other costs already incurred on behalf of the client that cannot be recovered
Refunds will only apply to the remaining recoverable amount.
Cancellation Refund Policy

| 90 days or more | 70% refund |
| 89 to 60 days | 40% refund |
| 59 to 30 days | 20% refund |
| Less than 30 days | No refund |
No refunds will be provided for:
- Unused services
- Voluntary withdrawal from a safari
- Late arrival
- No-shows
- Early departure
- Missed activities
- Missed flights or connections
Splendid African Safaris & Tours Ltd shall not be responsible for any losses, expenses, penalties, or additional costs resulting from a cancellation or change requested by the client.
Approved refunds will normally be processed within 30 days after both parties have agreed on the final refundable amount.
FORCE MAJEURE
Splendid African Safaris & Tours Ltd shall not be held responsible for any delay, interruption, change, postponement, rescheduling, or cancellation of services caused by events beyond our reasonable control.
Force Majeure includes, but is not limited to:
- War or threat of war
- Armed conflict
- Terrorism
- Civil unrest or riots
- Political instability
- Government restrictions
- Border closures
- Visa restrictions
- Epidemics or pandemics
- Public health emergencies
- Quarantine measures
- Natural disasters such as earthquakes, floods, hurricanes, landslides, volcanic eruptions, wildfires, and severe weather
- Airline cancellations
- Airport closures
- Transport disruptions
- Fuel shortages
- Strikes
- Utility failures
- Acts of God
- Any other extraordinary event beyond reasonable control
If a Force Majeure event affects a safari, Splendid African Safaris & Tours Ltd may:
- Change accommodation
- Adjust activities
- Modify routes
- Reschedule departures
- Postpone travel
- Cancel services where necessary
We shall not be responsible for losses including:
- Missed flights
- Additional accommodation costs
- Additional transport costs
- Business losses
- Loss of enjoyment
- Personal expenses
Any refund will be limited to funds actually recovered from suppliers after deducting:
- Permit fees
- Government charges
- Supplier penalties
- Administration costs
- Banking fees
- Service charges
Gorilla permits, chimpanzee permits, park fees, concession fees, and other government-issued permits remain subject to the refund policies of the issuing authorities.
Splendid African Safaris & Tours Ltd cannot guarantee refunds where the issuing authority declines reimbursement.
No refunds will be provided for unused services after travel has started due to a Force Majeure event.
Clients are strongly advised to purchase comprehensive travel insurance that covers cancellation, interruption, medical emergencies, evacuation, and Force Majeure events.
TRAVEL INSURANCE
Comprehensive travel insurance is mandatory for all travelers.
Your insurance policy should include:
- Medical expenses
- Emergency evacuation
- Repatriation
- Trip cancellation
- Trip interruption
- Personal liability
- Loss of luggage
- Force Majeure coverage
Clients who travel without adequate insurance do so entirely at their own risk.
COMPLAINTS
If you experience any problem during your safari, please inform:
- Your Splendid African Safaris & Tours Ltd guide or representative; and
- The relevant service provider.
This gives us the opportunity to resolve the issue during your trip.
Any complaint that remains unresolved must be submitted in writing within 30 days after the end of the safari.
We cannot accept responsibility for complaints received after this period.
LIABILITY
Splendid African Safaris & Tours Ltd will use reasonable care and professional skill when arranging and operating safaris.
However, we act as an intermediary between our clients and independent service providers and therefore cannot accept responsibility for actions, omissions, delays, cancellations, injuries, losses, or damages caused by:
- Airlines
- Hotels and lodges
- Transport providers
- Government authorities
- National parks
- Permit issuing authorities
- Other third-party suppliers
We are not responsible for:
- Loss of baggage
- Loss of personal belongings
- Injury
- Illness
- Death
- Travel delays
- Missed connections
- Additional expenses caused by circumstances beyond our control
Clients are responsible for obtaining and carrying all required travel documents, including:
- Valid passports
- Visas
- Vaccination certificates
- Travel permits
- Health documentation
- Any other entry requirements
Clients are also responsible for seeking appropriate medical advice before travel and ensuring they are physically fit to participate in safari activities.
GOVERNING LAW & DISPUTE RESOLUTION
These Terms and Conditions shall be governed by the laws of the Republic of Uganda.
Any dispute arising from these Terms and Conditions or from services provided by Splendid African Safaris & Tours Ltd shall first be addressed through good-faith discussions and mediation.
If the dispute cannot be resolved through mediation, it shall be submitted to the courts of Uganda, which shall have exclusive jurisdiction over the matter.
